Hotel Programs Coordinator

Visit Vacaville is seeking a smart and steadfast Hotel Programs Coordinator to play a crucial role in amplifying visitor experiences for all hotel properties and RV parks in Vacaville. This position aims to add “manpower” to small hotels teams, involves tourism marketing ideation and coordination, relationship-building and guest-service, analyzing data and creating internal communication pieces.

What You’ll Do

This is a or full-time or part-time, hourly, in-person position located in Vacaville, California. Under the direction from the President & CEO, you will regularly collaborate with and service various hotel teams and departments at multiple properties across town to implement proactive, revenue-generating, marketing efforts congruent with brand goals. The Hotel Programs Coordinator is responsible for ensuring that each Vacaville hotel operations/front desk team is informed of current Visit Vacaville promotions and equipped with marketing materials to share with guests. The role eases and aids hotel properties in working with their marketing contacts to build-out packages and promotions that are bookable online and subsequently well-serviced at property. The role also facilitates on-site activations and Visit Vacaville curated experiences.

What We’re Looking For

We are looking for a hospitality professional to actively build and foster Visit Vacaville’s relationships with hotel front-line staff. They are attentive, friendly, efficient, and courteous, providing all hotel partners and visitors with quality service and ensuring consistency in marketing messaging, visuals, and the visitor experience. Our ideal candidate has hotel industry experience, is familiar with hotel cross-functional teams and departments, and has a head for maximizing room revenue and occupancy. Preference will be given to candidates who have previously worked for a major brand like Marriott, Hilton, or Hyatt.

Duties & Responsibilities

  • Convey information and ideas clearly, both oral and written
  • Listen to, understand, and clarify concerns and issues raised by team members and guests
  • Quickly learn and maintain full knowledge of 15+ hotel properties, amenities, area attractions and transportation options
  • Learn and uphold various hotel brand strategies and cultures
  • Maintain constant and effective communication with all hotel front-of-house supervisors
  • Assist hotel teams with creation of promotions and special offers
  • Work closely with front office, revenue, and corporate marketing teams to create SOPs for booking special offers and experiences
  • Generate reports and memos to communicate information to both Visit Vacaville and hotel team members.
  • Assist hotel properties on large turn days when special groups are in-house like youth sports leagues.
  • Help guide and facilitate influencer stays, FAM stays, and VIP tour groups
  • Assist Revenue and Sales management professionals with the implementation and execution of programs to aid in hotels’ room occupancy and Average Daily Rate objectives being met
  • Contribute to the creation of marketing content, including copywriting, graphics, and multimedia elements
  • Collaborate with designers, writers, and other team members to develop compelling and engaging promotions
  • Maintain a regular lobby presence as scheduled with property partners and attend regular weekly and monthly in-person meetings
  • Occasional local and regional travel

    Required Qualifications

  • Effective in handling hurdles in daily work, including anticipating, preventing, identifying and solving problems as necessary
  • Must be able to evaluate and select among alternative courses of action accurately
  • Exceptional writing and communication skills
  • Solid computer skills and proficiency in Microsoft Office programs
  • A working knowledge of front desk and night audit responsibilities and procedures
  • Desire to pursue a career in tourism hospitality
  • Ability to drive to appointments throughout town
  • Able and willing to lift up to 60 lbs. and occasionally work long days or odd hours in accordance with business demands
  • Passion, resourcefulness, integrity, diligence!

    Experience and Education

  • 2 years of hotel front desk experience or equivalent
  • High School Diploma or GED certification
  • Responsible Beverage Service (RBS) certified, or able to complete within 30 days of hire
  • Experience with a central reservation systems like SynXis, AutoClerk, Navan, or Cloudbeds

    Salary

    Range: $22 - $27 per hour depending on experience
